Purchasing Clerk-Admin Assistant

Purpose :

Acts as the main contact person at the front desk, performs all NPR/MRO purchasing duties, answers all calls coming into the switchboard, greets visitors, sorts incoming mail, provides administrative support to various departments.  Enters requisitions and goods receipts for plant maintenance, employee supplies, and other support departmental purchasing. 

Description:

    • Answer multi-line phone and route incoming calls

    • Greet vendors, customers, job applicants and other visitors

    • Maintain visitor log

    • Enter purchasing requisitiions and forward resulting purchase orders to vendors 

    • Perform goods receiving function in purchasing system upon delivery.

    • Provide a variety of administrative support duties to various departments

    • Ensure internal reception back-ups are trained appropriately on multi-line phone and other front desk procedures

    • Update and distribute phone directories as necessary

    • Order office supplies as well as special supply orders as requested

    • Restock office supplies

    • Monitor VMI programs for plant PPE and sanitation items

    • Call in lunch orders for employees as requested

    • Work with courier services to request pick-ups

    • Call for taxi service when requested for visitors

    • Follows all safety procedures and participates in safety training. Maintains safe and efficient use of equipment, tools, and PPE. Reports any injury, accident or unsafe condition immediately to supervisor

    • Supports product safety, quality and legality

    • Supports, and comply with all quality management systems, continuous improvement programs, food safety, employee safety, preventative maintenance programs and legality

    • Supports and complies with GMPs

    • Follows all company policies and procedures

    • Other duties as assigned

  • Skills:

    • High School diploma required.

    • SAP purchasing experience preferred

    • Accounting experience preferred

    • Minimum 2 years administrative experience

    • Excellent computer skills in a Microsoft Windows environment. Must include Excel and demonstrated skills in database management and record keeping.

    • Effective oral and written communication.

    • Excellent interpersonal and coaching skills.

    • Evidence of the practice of a high level of confidentiality.

    • Excellent organizational skills.
